Data Teams allows you to organize data values by job type. Similar to Security Roles, a user can be a member of multiple Data Teams. 


Data Teams determine HOW a user sees the data fields and Security Roles determine WHAT a user is allowed to see. The difference between a Data Team and a Security Role can get a little fuzzy. Since a Data Team can hide fields from a user they seem similar to a Security Role but they are technically different.


Hiding fields using a Data Team can simulate a form of security when you do not have an Enterprise License.


Furthermore, Security Roles can limit rows of data based on a field value (Chinese Wall) . A Data Team cannot.


If your goal is to make data fields more understandable and organized for a specific job type then use a Data Team.

If you are concerned with securing sensitive data from specific users then should also use a Security Role.


Think of a Data Team as a predefined Favorites folder for the members of the team.

The Default team is a system team that ALL members are automatically assigned. It's the Global Favorites folder for all users.


Available Data Categories are listed that can be organized.


New Sales Team before organizing the data:

Each Data Category is organized separately. Fields cannot cross categories.


Right-Click to see the available action items.

 

If you DO NOT want anything shown from the System Defaults folder you can hide the items.


You can create organized folders that will show separately on the view creation Field Selector or rename the System Defaults folders and system field names. You CANNOT organize or create new folders in the System Defaults folder.


Items set to Hidden become invisible to the user. You can use this as a simple security method to restrict data access.


Entities can be organized and hidden in a similar manner.


Members of this Data Team will see this when selecting Entities:

 



Add a Member to this Data Team by selecting the checkbox.

Only members of the Data Team will see the organized data folders when building views and selecting data.



Member Relationships

This will show a Teams to Members or a Members to Teams hierarchical view to easily see the relationships between Teams and Members.
